Customer Service Representative (Bilingual English & French)

Provide excellent service to customers in both fluent French and English languages by acknowledging and accurately processing orders and customer inquiries. Also provide administrative support to the sales and marketing areas.
RESPONSIBILITIES INCLUDE:
CUSTOMER SERVICE
  • Ensure timely and accurate response to orders
  • Confirm that information received and orders entered on computer system are accurate for all products manufactured and distributed by TMI
  • Ensure all aspects of order acceptance are met, e.g. pricing accuracy, account in good standing, and terms of delivery
  • Coordinate the appropriate response to orders by liaising with Operations, Quality Assurance and Regulatory Affairs, Shipping, Finance and Administration, and Materials and Logistics
  • Provide customers with accurate shipping, invoicing and other required logistical information
  • Provide price quotations to customers
  • Act as a liaison between customers and Sales and Marketing staff
MARKETING SUPPORT
  • Assist in the monitoring of inventory levels of product, samples, and promotional material
  • Provide French language proofing of Canadian retail collateral
  • Assist in maintaining accurate databases and various internet searches
  • Complete or organize administrative functions for the Sales and Marketing Department, e.g. filing, mailing, telephone responses, photocopying, faxing, printing, quotations gathering, communications proofing, clinical journal searches, and preparing and collating presentations or binders
INQUIRIES
  • Respond appropriately to inquiries from customers and TMI employees for information on products, literature, and samples
HEALTH AND SAFETY
  • Ensure compliance with relevant health and safety legislation, including the Workplace Safety and Insurance Act, the Occupational Health and Safety Act, etc.
POLICY COMPLIANCE
  • Adhere to all relevant policies, procedures and legislation
SUPPLEMENTARY
  • Provide Reception coverage as part of a schedule
  • Perform special projects as required
  • Participate in ongoing training and professional associations as appropriate
  • Fully utilize TMI resources to ensure delivery of a quality product to all internal and external customers at a minimal cost
QUALIFICATIONS
  • Relevant college certificate or diploma
  • Three years experience in a customer service or administrative environment in a medical or related field
  • French language literate with:
    • Proficiency in writing
    • Proficiency in speaking
  • Excellent oral and written communication skills
  • Excellent interpersonal skills
  • Ability to work with little or no direct supervision
  • Computer literate with:
    • Intermediate experience in MS Office
    • Intermediate experience in MS Outlook
